• The Process

    How we plan your trip.

Six steps from the first phone call to the welcome-home email. No black box, no upselling — just a process that's earned us 5★ reviews from hundreds of travelers.

    1. 01

      Discovery call

We start with a 30-minute call — no obligation, no fee. We learn who's traveling, your travel style, your investment range, the destinations on your shortlist, and what's worked or flopped on past trips.

    2. 02

      Curated proposal

Within 5–7 business days, your advisor returns a tailored shortlist of itineraries, properties, ships, or safari camps with pricing — never more than three options at a time, so you actually decide instead of drowning.

    3. 03

      Refine and book

We tweak the proposal until it's right, then book everything: flights, hotels, transfers, tours, restaurant reservations, theme park strategy, allergy notations, the works.

    4. 04

      Pre-trip walkthrough

Two to three weeks before departure, you receive a final document and a walkthrough call covering check-in, packing, dining strategy, and any logistical curveballs.

    5. 05

      On-trip concierge

Your advisor is reachable by phone, text, and WhatsApp the entire trip. We have re-routed flights at 3 a.m., relocated guests to better hotels mid-trip, and arranged emergency transport — quietly, on your behalf.

    6. 06

      Welcome home

After you're back, we debrief — what worked, what didn't — and start a file on your travel preferences so the next trip is even better.

    • Common Questions

    Before you call us.

How long does it take to plan a trip?
Most bespoke trips take 4–8 weeks of design and booking time. Complex multi-destination luxury trips (private safaris, multi-country Europe) can take 8–12 weeks. Cruise bookings are usually faster — often 1–2 weeks from discovery call to confirmed booking.
Do you charge a planning fee?
No. We do not charge a planning fee — for cruises, all-inclusive resorts, hosted group trips, or fully custom itineraries. Our compensation comes from the supplier at no extra cost to you.
What if something goes wrong during my trip?
Your advisor is reachable around the clock during your trip. We have re-booked flights at 3 a.m., relocated families to better hotels mid-stay, and arranged emergency medical evacuation — quietly and on your behalf.
Do you plan corporate retreats, incentive trips, and nonprofit cruise fundraisers?
Yes. Eric Riley leads our corporate, incentive, and nonprofit group practice. The discovery-call → curated-proposal → refine → book → on-trip concierge → debrief process is identical for these programs, but the proposal stage layers in group contract negotiation, multi-city air coordination, room blocks, private dining or event space, fundraising commission structures for 501(c) cruise fundraisers, and on-site logistics support. Programs range from 12-person executive retreats to association charters.
    • Group, Corporate & Nonprofit

Same six steps — bigger groups, broader briefs.

Eric Riley applies this same process to corporate retreats, sales incentive trips, and 501(c) nonprofit cruise fundraisers — layering group contract negotiation, multi-city air, and on-site logistics into the proposal stage.
